Job description for Truck Call Centre Operator
The Call Centre operates 24/7/365. Call Centre Operators are responsible for: Call Centre Operator will be mostly responsible for, but other duties could be assigned to:
Breakdowns
Drivers are required to block calls in case of mechanical breakdowns or breakdowns on the trailer or truck in the call center. Call Centre Operators will be responsible for arranging any mechanical or breakdown with the truck. Call Centre Operator will be accountable for arranging with the right truck dealer to repair the truck, or to complete the maintenance. If there’s an accident on a trailer it is the Call Centre Operator will arrange an approved service provider to fix the problem.
It is the Call Centre Operator will provide regular updates to the fleet controller about the status of repairs. It is the Call Centre Operator will complete the breakdown book, including all pertinent information and make sure the administrator is armed with the book at the beginning of the early morning (07h30) to prepare an annual breakdown document. If there is a situation where the Call Centre Operator is unsure about a service or repair provider, he will immediately communicate foreman, Technical Manager in order to obtain clarification.
Diesel
The Call Centre Operator will be responsible to guide drivers on where to fill up with diesel at diesel filling stations when drivers contact or text in for approval. Accept the request to fill with diesel and issue an the driver with an authorization number.
Take note of the fleet’s number dates, litres, date times and kilometres in the system.
Capturing loads on the system
It is the Call Centre Operator will be accountable for capturing the client’s location from, until departure time, mass of the load and the distance to departing of every truck that is loading at a customer.
Note the time that you arrive at the customer for loading and entering into the open load. This will include offloading distance, duration and weight of the load. Check all trucks to make sure they are driving in the direction they were assigned. Make corrective steps by calling the driver and asking the cause of any illegal deviations from the designated routes.
Management of journeys, which includes sleep plans
Notify Fleet Controller Fleet Controller in the event of deviations by drivers from their designated routes, delays or any other. Make sure that drivers adhere to the designated sleeping schedules and inform the The Fleet Controller in case of any deviations. Contact drivers to make sure they’re awake, and are ready for departure. (as per the sleep plan).
In the case in the event of an accident (accident or hijacking) the operator should start the appropriate recovery procedures.
Issuing and Management of Pool Vehicle
Controlling the booking and request of vehicles for pool use. Conducting preand post-trip inspections. reporting any damage or other to the Technical Manager.
Desired Experience & Qualification
- Grade 12 or equivalent (required)
- A degree or equivalent qualification in Logistics or Transport Management (advantage but not necessary)
- 3 years of experience in similar positions in the logistics and transport industry
- English (must), Afrikaans (desired) and any other official languages (advantage)
